Sales

These are the sales module definitions and properties. These definitions also include rates, currencies, approved credit card brands etc.

Definition Fields

At the top of this tab, fill in the general definitions fields of the sales module. Pay attention to the mandatory fields.

Field Title Description
Bookkeeping Currency This is a mandatory field, which defines the bookkeeping currency for the organization. This currency does not have to be the same currency of the local country.
Download Currency Rates At Define the daily timing for the currencies rates download. The rates will be updated according to the data source, as defined in the "Operative Currencies" table.
Invoice Total Rounding Off The rounding off policy of the organization. Select the required policy:
  • Do Not Round - Do not round the invoice amount.
  • Round - Round the invoice amount up/down, according to its decimal value.
  • Truncate - Ignore the decimal value of the invoice amount. For example: 120.6$ => 120$.
Required Client Id beyond Total Amount LC According to the local regulation and the organization's policy, define the total amount which requires the client to present his ID.
Set Sale Docs Agency According to The agency field in the sale documents will be defined according to:
  • The Producing User - as defined in the "Agency" field of the employee card.
  • The Client's Agency - as defined in the "Agency" field of the client card.
Copy Sale Docs Agent from Client record field Define the sales agent for the sale documents:
  • Default Sales Agent - as defined in the client card.
  • Default Relationship Manager - as defined in the client card.
  • spare Agent - one of the spare agents that was defined in the client card.

The Sales Module Definition Tables

There are four definition tables in this tab:

Bookkeeping Local VAT / GST Rates:

Hyper allows to receive the VAT / GST rates from its servers. The data is taken from the local tax authorities.

Field Title Description
From Date The date of rate update. A new row will be created for any new rate update.
Tax Rate The updated tax rate.

Operative Consumers Price Indexes

The list of indexes which are being used by the organization. This list is manually updated by the organization.

Field Title Description
Code The exact chars that represent the index.
Full Name in Local Language Full name of the index in the local language and its description.

Operative Currencies

The defined operative currencies of the organization, according to its policy. The exchange rates are received from central banks that were defined in the system. Therefore, each currency should be defined only once, in the following definition fields:

Field Title Description
Code The international agreed code of the currency.
Full Name in English The currencies full name. This field will be automatically updated by the system, when filling in the agreed international currency code in the "Code" field.
Minimal Cash Coin Amount The minimal cash coin amount, which is accepted by the organization.
Safe Minimal Rate The minimal exchange rate, according to the organization policy.
Safe Maximal Rate The maximal exchange rate, according to the organization policy.
Data Source The data source of the currencies exchange, according to the availability of these rates.
Please note - The currencies exchange is calculated as follows: Foreign Currency * Exchange Rate = Local Currency. The configuration of hyper is automatic, according to the organization country and the local currency. According to these details, the system decides which central bank will be the data source. In case that there is no "direct match" in the bank between the required currencies, the exchange calculation is done by using USD or EUR, according to the central bank that allows the exchange with the target currency.

Credit Card Brands

Define the accepted credit card brands of the organization.

Field Title Description
Brand Name The formal brand name.
Calc Payment Date Function According to the agreements with the credit card company, select the payment date function:
  • 1-31.mm at 2.mm+1 - the payment will be received on the 2nd day of the following month
  • 1-14.mm at 2.mm+1 and 15-31.mm+1 at 8.mm+1 - The payment for charges between the 1st and the 14th day of the month, will be received on the 2nd day of the following month. The payment for the rest of the charges will be received on the 8th day of the month.
  • + 7 days - The payment will be received 7 days after the charge.
  • 1-31.mm at 6.mm+1 - The payment will be received on the 6th day of the following month.
  • 1-13.mm at 2.mm+1 and 14-31.mm at 15.mm+1 - The payment for charges between the 1st and the 13th day of the month, will be received on the 2nd day of the following month. The payment for the rest of the charges will be received on the 15th day of the month.
Receipt C.C. Default Account Select the account from the inner account list (with "Account Purpose" field value of "Electronic Income").

Action Buttons

The following action buttons are available at the bottom of this tab:

Update VAT/GST rates from SYE Server This button updates the VAT / GST table, by using the local tax authority (according to the "Company Registered in Country" field, of the Global & Basic Settings). Else, the rates should be manually updated. This button also updates the list of banks in Hyper.
Rebuild FX Rates Table Rebuild the FX rates according to the FX Rates history, for the required dates. This action resets the Currency Rates table and rebuild it, according to the bookkeeping currency. The rates will be updated from the required selected date in the opened window. This action also updates the Data Source for each of the currencies records in the Operative Currencies table.
